insureflo is software that insurance advisors use to keep records of their clients and policies. This page explains what it holds, who can see it, and what happens to it.
Two different relationships
If you are an advisor or a firm using insureflo — the records you enter are yours. You decide what to collect and why. insureflo holds it on your behalf and does what you ask with it.
If you are a client of one of those firms — your relationship is with the firm, not with insureflo. They asked you for your details; insureflo is the tool they keep them in. If you want to see, correct or withdraw what they hold, ask them first. If you cannot reach them, we can be contacted at the address below.
What is held
About people who sign in: name, email address, phone number, and a record of when they signed in and what they changed.
About a firm's clients: whatever the firm records — name, date of birth, contact details, address, policies, quotes, notes, and documents they upload.
Health information, where a client has completed an insurance questionnaire. This is collected only through a form the firm sends, only with the two confirmations shown on that form, and the answers are stored exactly as given and cannot afterwards be edited by anyone — including the firm and including us. That is deliberate: the record exists to show what was actually declared.
Why it is held
To let a firm keep records of its clients and policies, to produce quote documents, and to send the emails that let people sign in. Nothing here is used for advertising, sold, or shared with anyone other than the services listed below.
Who can see it
Each firm's records are separated from every other firm's by the database itself, not merely by the screens. Within a firm, an advisor sees only their own clients unless the firm has chosen to share across the team; an assistant sees only the advisors they are assigned to.
insureflo staff cannot read a firm's client records. Administering the service gives access to a firm's name, plan, seats and how recently it was used — not to what is inside it. If that ever needs to change in order to help with a problem, it would be with the firm's agreement, limited in time, and recorded.
Uploaded documents are stored privately and are never reachable by a link alone.
Where it is held, and who else is involved
The database and uploaded documents are stored in Canada. Some of the supporting services below operate elsewhere, mainly the United States.

Error reports are deliberately configured to exclude the contents of any request and any identifying detail, so a fault report says what broke without carrying anybody's information with it.
How long it is kept
A firm's records are kept for as long as they use insureflo, and for one year afterwards, so that an account closed by mistake can be recovered and so a firm has time to retrieve what it needs. After that they are permanently deleted, including uploaded documents.
A firm can ask for its records to be exported at any time, and can ask for them to be deleted sooner. Advisors may need to keep certain records for longer to meet their own regulatory obligations; that is their decision to make, and insureflo will act on their instruction.
Your rights
Under Canada's Personal Information Protection and Electronic Documents Act you may ask what personal information is held about you, ask for it to be corrected, and withdraw consent you previously gave.
If you are a client of a firm, ask the firm — they hold the records and they decide what happens to them. If you are an advisor or a firm, write to us at the address below and we will respond within thirty days.
If you are not satisfied with how a request was handled, you may complain to the Office of the Privacy Commissioner of Canada.
Changes
If this page changes, the date at the top changes with it. Anything that materially affects how information is handled will be told to the firms using insureflo directly rather than only posted here.
Who we are, and how to reach us
insureflo is operated by an individual based in Ontario, Canada. It is not incorporated. If that changes, this page will name the company and the date it took over.
